Summary

Center for Breakthrough Medicines is seeking an Office Manager Team Lead to join our rapidly growing organization. As an Office Manager, you’ll oversee general office operations, create, and edit documents, spreadsheets, presentations while managing schedules, arranging itineraries, coordinating meetings, travel, conference calls, etc. This position will be a team lead for other office staff members and will be the key point of contact for with the property management team.

Responsibilities

  • Overseeing general office operation
  • Supervising, mentoring, training, and coaching our office staff and delegating assignments to ensure maximum productivity
  • Coordinating domestic and international travel, including flight, hotel, and car rental reservations
  • Purchasing office supplies and equipment and maintaining proper stock levels
  • Creating presentations and other management-level reports
  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Develop office policies and procedures, and ensure they are implemented appropriately
  • Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure
  • Manage office budget
  • Identify opportunities for process and office management improvements, and design and implement new systems
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports

Qualifications

  • High School Diploma, associate degree or bachelor degree preferred
  • 3+ years of administrative support, preferably for executive level staff
  • 2-5 years of work experience in an administrative/office management role
  • Must have exceptional attention to detail
  • Strong organizational and time management skills, and ability to prioritize
  • Must be a self-starter and driven
  • Excellent communication and interpersonal skills
  • Strong problem-solving skills and analytical abilities
  • Must be proficient with Microsoft Office and Google products
  • Ability to work well with all levels of management, staff, clients, and vendors
